The first displayed price is one input to a hosting decision. Compare the same operating period and service scope, then keep unknown charges visible until the seller supplies the missing terms.
Set a common comparison period
Choose the period your project needs to operate and list the services required throughout it: domain registration, hosting, mailboxes, backups, and administration. Use identical quantities and terms for every candidate. Record the full payable amount alongside any monthly equivalent. A monthly-looking figure attached to an annual commitment should not be compared directly with a cancellable monthly service.
Create columns for service, initial charge, next renewal charge, billing interval, currency, included capacity, taxes, and evidence date. Add a field for unresolved conditions. For a multi-year comparison, distinguish quoted renewals from estimates and identify when rates may change. Do not populate missing amounts with zero or use an introductory discount as evidence of a future renewal rate.
Ask for the exact domain's ongoing charges
Request registration and renewal rates for the actual name, extension, and selected duration. Ask whether a premium designation affects registration, renewal, or both. Confirm eligible privacy pricing and whether continued coverage requires another action. A rate for an ordinary name under one suffix is not evidence of the price for a premium name or another namespace.
ICANN's Expired Registration Recovery Policy requires disclosure of renewal, applicable post-expiration renewal, and restoration fees for gTLD registrations. Use those categories as distinct checklist rows. Confirm the specific registry and provider rules for country-code names through primary materials. Keep restoration charges outside the normal renewal subtotal, clearly labelled as possible exception costs rather than a retention strategy.
Expose hosting extras and responsibility costs
Ask whether the quote includes management, control-panel licensing, database support, email, backups, and restoration. Request charges or limits for extra storage, transfer usage, migration assistance, and support beyond the included scope. Compare like-for-like capacity and responsibility. An unmanaged service also needs a person to maintain it; record that work as an explicit project requirement rather than silently treating it as free.

Ask whether taxes are included, which billing details affect them, and whether conversion or payment-related charges apply. Request a sample invoice format and confirmation of the contracting operator's identity. This checklist does not establish an operator, tax treatment, or an unquoted fee on the seller's behalf.
Read cancellation and refund rules separately
Ask how to cancel each service, when cancellation takes effect, and whether stopping renewal differs from terminating access immediately. Request product-specific refund exclusions, request deadlines, deductions, and the form of any refund. Clarify the treatment of unused account credit. A hosting refund statement should not be assumed to cover domain registration, completed third-party work, or every other item in a bundle.
Ask what nonpayment or suspension does to the domain, website, mail, and backup access. Record export deadlines and any migration or retrieval fees before treating a provider switch as inexpensive. Obtain written clarification where terms are absent or conflict. The ability to stop billing is only one part of leaving; retaining usable content and registration control also matters.
Close the budget with conditions and owners

Total confirmed charges for the chosen period, list possible exceptions separately, and flag unanswered rates or policies. Approve only a comparison whose remaining conditions fit the project's needs; a low subtotal alone is insufficient evidence.
What should I enter when a renewal price is unavailable?
Mark it unconfirmed and request the exact name's or plan's renewal rate. Do not assume it equals the introductory amount or zero.
Does cancellation always create a refund?
No. Confirm product-specific cancellation and refund terms, including timing, exclusions, deductions, and unused credit treatment.
